For mechanical contractors
Project management, embedded in your team
Proportional FM takes ownership of a defined project assignment, giving your team a dedicated person to plan delivery, coordinate vendors, resolve outstanding issues, and carry commitments through completion. Your leadership gains capacity to run the broader job, and your client gets clear reporting on progress and next steps.
Tell us what you are delivering and where you need management capacity.
What we take on
Management responsibility for a defined part of the job
Your assignment has one accountable lead for planning, coordination, follow-through, and reporting. Your team retains commercial authority, client ownership, and final approval rights unless the proposal states otherwise.
Delivery planning
Review the scope, build the delivery plan for the assignment, and set the milestones and commitments everyone works to.
Coordination
Coordinate vendors, OEM technicians, integrators, and the trades whose commitments the assignment depends on, so dates are held and handoffs land.
Follow-through
Track every commitment to a date, resolve dependencies, and bring decisions forward with the delivery impact and a recommended action.
Reporting
Clear, accurate status to your team and, where the assignment includes it, to your client: what is complete, what is next, what needs attention, and what needs a decision.
Typical assignments
- Vendor and equipment commitments, from submittal return through startup
- Closeout and turnover, from first startup through acceptance
- A phase or package that needs dedicated management capacity
The assignment, its deliverables, and the responsible parties are defined in the proposal.
How we manage
The Project Status Report
This is the operating record your team receives: where the assignment stands, what is complete, what is running, what comes next, and the issues and decisions that need your team. Open any line for the owner, the dependencies, and the evidence on file. The example below is illustrative and contains no live project data.

Experience
Experience behind the delivery
Proportional FM brings experience across facilities operations and capital projects, coordinating contractors, sequencing work in occupied buildings, managing competing priorities, and carrying projects through closeout. That operating perspective connects project decisions to the needs of the facility and the people responsible for running it.

The engagement is led by one PMP-certified principal with more than 15 years of facilities and capital-project experience. You get one accountable point of contact, not a rotating bench.
Working arrangement
Agreed before work begins
Before work begins, we agree on responsibilities, decision authority, and client communication. We work within your project systems and coordinate access and onboarding with your team.
Responsibilities, authority, and delivery requirements are defined in the proposal, along with the fee and the terms.
Before a proposal
Questions we settle before we start
What part of the job can you take responsibility for?
A defined assignment, phase, or package: vendor and equipment commitments, delivery and startup coordination, or closeout and turnover. The proposal names the deliverables, the responsible parties, and the reporting for that assignment.
Are you replacing our project manager or superintendent?
No. We take the agreed assignment so your leadership can run the broader job. Your team keeps technical authority, contract authority, field supervision, and every decision outside the assignment unless the proposal says otherwise.
Who do you coordinate, and where does that stop?
We coordinate the vendors, manufacturers, integrators, and trades whose commitments the assignment depends on, confirm dates and dependencies, and bring decisions forward with their delivery impact. Technical approvals, means and methods, and engineering judgment stay with the responsible contractor, vendor, or engineer.
What does our team actually receive?
A Project Status Report each period, in the format shown above, plus the escalations in between. Client-facing distribution and format are agreed before work begins.
How do we find out whether this fits?
Send the assignment, the constraints, the parties involved, and where you need management capacity. We come back with the responsibility we can take on, the delivery approach, and the fee.
